At Ignito Tuition Ltd (“we”, “us”, or “our”), we are committed to protecting your privacy and keeping your personal information safe. This Privacy Policy explains what information we collect, how we use it, how we store it, and your rights under UK data protection laws.

We are the Data Controller for the personal data we process.
2.Information We Collect
We collect and store the following types of personal information:
From parents/carers:
- Name, address, email, phone numbers
- Relationship to the student
- Payment and invoicing details
From students:
- Name, email, school year, school name
- Subject choices, exam board, tier, and academic information
- Special educational needs (SEN) details, medical conditions, allergies (where relevant)
Other information:
- Attendance records and homework completion CCTV footage (in-person sessions)
- Lesson recordings (online sessions)
- Communications with us, including tutor correspondence and WhatsApp supportgroup messages
- Marketing consent preferences
2a. Special Category Data (SEN, Medical and Allergy Information)
SEN, medical and allergy details are special category data under UK GDPR (Article 9). We collect them only with your explicit consent, for the stated purposes of keeping your child safe (including allergy management around food items), tailoring teaching appropriately, and meeting our safeguarding duties. Access is restricted to those who need it to deliver and safeguard your child’s tuition. You may withdraw this consent at any time, though it may limit our ability to provide tuition safely.
3.How We Collect Information
We collect information when:
- You complete our booking form or join our waiting list
- You contact us by phone, email, WhatsApp, or in person
- A student attends online lessons, which are recorded for student use
- A student engages in online platforms (Google Classroom, Classkick, Skool, etc.)
- You make a payment through our booking system or Xero
4.How We Use Your Information
We use your personal information to:
- Provide tuition and support services
- Group students appropriately by ability and year
- Communicate with parents/carers about lessons, homework, and progress
- Manage payments and invoicing
- Share lesson resources via online platforms
- Maintain a safe environment (including CCTV monitoring)
- Carry out aggregate catchment analysis using address data (service planning and local marketing)
- Provide safeguarding oversight of tutor–student communications
- Share information with a student’s school where necessary for their safety
- Send you marketing updates only if you have given consent
We will never sell your personal data or share it with third parties for marketing purposes.
5.Lawful Bases for Processing
We process personal data under the following lawful bases:
- Contract – to deliver the tuition services you have booked
- Legal obligation – to comply with safeguarding, tax, and accounting requirements
- Legitimate interest – to operate our business effectively and improve services
- Consent – for marketing communications, photography/videography, and special category data (see Section 2a)
6.Who We Share Your Information With
We only share data where necessary to run our services, including:
- Google Workspace – for lesson resources, communications, and file storage
- Xero – for invoicing and payment records
- Website hosting provider – for booking system storage and security
- Payment processors (e.g. Stripe, GoCardless) – to process payments
- Classkick – for interactive lesson activities
- Skool – the platform hosting our online Programmes, including student accounts, live sessions, recordings and community posts
- ClickUp – for managing enrolment, registers and student support workflows
- Zapier – to connect our booking, payment and workflow systems
- Trustpilot – for review invitations, sent via Trustpilot’s own service
- WhatsApp (Meta) – where a family opts into a WhatsApp support group
These providers may store data outside the UK/EU, but we ensure appropriate safeguards (e.g. UK adequacy decisions, standard contractual clauses) are in place.
6a. Cookies & Analytics
Our website uses cookies and Google Analytics 4 to understand how visitors use the site. Analytics data is aggregated and does not identify you personally. You can manage nonessential cookies through the cookie banner on our website.
6b. Communications Monitoring & WhatsApp
For safeguarding, tutor correspondence conducted through Ignito email accounts is retained and may be reviewed by our Designated Safeguarding Lead. Where a family opts into a WhatsApp support group (parent, student aged 13+, tutor and DSL), messages are visible to all group members and periodically exported to our secure safeguarding records.
7.CCTV
CCTV operates in our classrooms for the safety of students and staff.
- Footage is stored securely and is accessible only by our Designated Safeguarding Lead (DSL).
- Recordings are automatically deleted after 30 days, unless required for safeguarding, security, or legal purposes.
- Online lesson recordings remain in the group’s Google Classroom, and Programme recordings remain in the Programme’s Skool space, for lesson use only. Both are deleted by 30 September following the academic year in which they were made, unless required for safeguarding, a complaint or legal reasons.
8.How Long We Keep Your Information
We keep student and parent/carer data for 2 years after tuition ends, unless a longer period is required by law. Financial records are kept for 6 years as required by HMRC. Safeguarding records are retained securely for substantially longer, in line with safeguarding guidance (as a guide, until the young person turns 25), accessible only to the DSL.
9.How We Protect Your Information
We take appropriate technical and organisational measures to keep your data secure, including password-protected systems, secure cloud storage, and limiting access to authorised personnel only.
10.Your Rights
You have the right to:
- Access the personal data we hold about you
- Request corrections to inaccurate or incomplete data
- Request deletion of your data (where legally possible)
- Withdraw consent for marketing at any time
- Restrict or object to certain types of processing
- Data portability (transfer of your data to another provider)

11.Marketing
We only send marketing emails if you have actively opted in. The marketing box on our forms is always unticked by default. You can unsubscribe at any time by clicking the link in the email or contacting us directly.
12. Changes to This Policy
We may update this Privacy Policy from time to time. Any changes will be posted on our website and, where appropriate, notified to you by email.
